1. Who We Are

Paynless Dental operates three dental clinics in Sydney: Toongabbie (Shop 1, 4–6 Junia Avenue), North Ryde (34 Epping Road) and Blacktown (14 Hereward Highway, operating as 24×7 Dental Suite). 2. What Information We Collect

We collect personal information including your name, date of birth, contact details, Medicare and health fund details, and billing information. We also collect health information including medical and dental history, clinical notes, treatment plans, consent forms, X-rays, clinical photographs and referral correspondence. Health information is sensitive information and is afforded the highest level of protection under the Privacy Act 1988.

3. How We Collect Your Information

We collect information directly from you — through patient registration forms, consultations, consent forms, phone and online bookings and correspondence. We may also receive information from other health practitioners involved in your care (with your knowledge), from Medicare and your health fund when processing claims, and through our practice management software and website. Where practicable, we collect health information directly from you rather than from third parties.

4. Why We Collect Your Information

We use your information to provide safe dental care, manage appointments, process health fund and Medicare claims, communicate with you about your treatment, coordinate with other health practitioners involved in your care, and meet our professional and legal obligations. We will only use your information for a secondary purpose if you have consented or if permitted by law.

5. Disclosure of Your Information

We may share your information with other treating health practitioners (specialists, GPs) involved in your care; health funds and Medicare for claims processing; payment providers including HICAPS, AfterPay, Humm, Denticare and Zip for payment processing; dental laboratories for the fabrication of restorations; our practice management software provider; and regulatory or government bodies where required by law. We do not sell your personal information to third parties.

Overseas storage: Our practice management software may store data on servers located outside Australia. We take reasonable steps to ensure any such storage is consistent with the Australian Privacy Principles.

6. Security of Your Information

We take reasonable steps to protect your personal and health information from misuse, loss and unauthorised access. Records are held in a password-protected practice management system with access restricted to authorised staff. In the event of a data breach that may cause serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) as required under the Notifiable Data Breaches scheme.

7. Retention of Records

We retain health records in accordance with applicable NSW and Commonwealth law. As a guide, adult clinical records are generally retained for a minimum of 7 years from the date of last entry. Records relating to children are generally retained until the patient turns 25 years of age or for 7 years from the last entry, whichever is longer. Financial records are retained for 7 years as required by the Australian Taxation Office. Once the required retention period has passed, records are securely destroyed.

8. Website and Cookies

Our website uses tools including Google Analytics (anonymous usage data), Google Tag Manager (tracking scripts), Fraud Blocker (click fraud protection) and Cloudflare (security and performance). These tools may collect non-identifying information such as pages visited, device type and IP address. Our website uses cookies to support these functions. You can disable cookies through your browser settings. Our online booking form collects contact and appointment details which are stored in our practice management system.

9. Direct Marketing

We may send you appointment reminders and recall notices as part of your ongoing dental care — this does not require separate consent. We will only contact you for promotional purposes if you have given consent. You may opt out of marketing communications at any time by contacting our Privacy Officer or advising our team.

10. Access, Correction and Deletion

You have the right to request access to, or correction of, the personal and health information we hold about you. You may also request deletion of your records, noting that mandatory retention periods under NSW and Commonwealth law may prevent immediate deletion. A reasonable fee may apply for access requests.
